We have replaced the folder creation with our own logic, which will take care of the folder names that are created in SharePoint. Instead of including a unique record identifier in the name, we name the folder with just the record name, for example, the name of an account or an opportunity. Thanks to this, navigating the CRM folder structure directly from SharePoint is more user-friendly, and the end result is a document storage that looks native to both CRM and SharePoint.
To keep things in order, it’s good to define a default folder structure that you always use. This might be a standard set of folders that you always need for your accounts, such as projects, meetings notes, presentations, etc. Sharepoint Extended makes the day-to-day work for the users more efficient and allows you to keep a good structure in your document management. Microsoft Dynamics comes with great functionality for generating templates. It also comes with integration to SharePoint. Unfortunately, the two are not linked and users are forced to generate and download the template, and then upload it back to SharePoint through the integration in CRM.
